    Caven ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Caven desktop application.

    Caven is owned and operated by Caven BV, a company registered in Belgium with registered office at Sint-Annastraat 7, 9420 Erpe-Mere and VAT number BE1037354721.

    Analytics & Cookies

    When you provide consent through our cookie banner, we use Google Analytics 4 (measurement ID G-QVMMRZRZ2Y) to understand how visitors discover and navigate caven.io. Google Analytics collects pseudonymized identifiers, device/browser metadata, and high-level location information to generate aggregated usage reports. This data helps us improve site performance, plan marketing campaigns, and prioritize product updates.

    You are always in control of analytics tracking. Performance cookies are disabled by default until you opt in. You can change your consent preferences at any time via the floating cookie settings button or by clearing the "cookie-consent" entry stored in your browser's local storage. If you disable performance cookies, we immediately stop sending events to Google Analytics and instruct Google to treat previously set cookies as denied.

    Meeting Data (Your Choice)

    With Caven, you have complete control over your meeting data:

    • Local Storage: All recordings and transcriptions can be stored entirely on your device
    • Cloud Storage: Optional secure cloud storage with end-to-end encryption
    • Your Infrastructure: Store recordings on your own servers or infrastructure
    • Transcription Options: Local processing, our cloud service, or bring your own API keys

    How We Use Your Information

    • Provide and maintain the Caven service
    • Process transcriptions and generate AI summaries (when you choose cloud services)
    • Improve our application and user experience
    • Respond to customer support requests
    • Send important service announcements and updates
    • Comply with legal obligations

    Google User Data

    Caven accesses limited Google user data via the Google Calendar API in order to detect scheduled meetings and enable automatic recording workflows.

    The following Google user data may be accessed:

    • Calendar event title
    • Event start and end time
    • Event participant email addresses

    This data is used solely to determine when a meeting should be recorded and to label recordings.

    Google Calendar metadata is not shared with third-party AI providers such as OpenAI or AssemblyAI.

    Google user data is never:

    • sold
    • used for advertising
    • used for AI model training
    • transferred to third parties except when strictly required to provide the core functionality of the service.

    Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

    AI Processing and Third-Party Services

    To provide transcription and meeting summarization features, Caven integrates with trusted AI providers.

    These providers include:

    • AssemblyAI – speech-to-text transcription through an EU endpoint
    • OpenAI – transcript summarization and analysis through EU-oriented routing or a customer-controlled EU endpoint where enabled

    These services process meeting audio or transcript data only when a user records a meeting.

    Google Calendar data obtained via Google APIs is never shared with these AI providers.

    All providers operate under strict data processing agreements and are contractually prohibited from using customer data for advertising or AI model training.

    Data Security

    We implement appropriate technical and organizational measures to protect your information:

    • End-to-end encryption for cloud-stored data
    • Secure data transmission protocols
    • Regular security assessments and updates
    • Access controls and authentication systems
    • GDPR-compliant data handling practices

    Data Retention

    We retain your information only as long as necessary for the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law.
